Setting Up Your Profile

Overview

Your profile contains your personal information used for check-ins, emergency contact, and account access. Keeping your profile up-to-date ensures you receive important notifications and can be contacted during emergencies.

Who Can Use This

All users can manage their own profile information.

Accessing Your Profile

Via Web Application

  1. Sign in to https://reggiefiredrill.co.uk
  2. Click on the navigation menu icon (top left), and then click on your email address at the bottom of the menu drawer.
  3. Select "Manage account" from the pop-up menu

Via Mobile Application

  1. Open the Reggie® mobile app
  2. Navigate to the "More" tab in the bottom navigation
  3. Tap "Profile" or "Account Settings"

Profile Information You Can Update

Personal Details

  • Profile Photo - Used in your profile, and on the fire drill screen
  • Email Address - Primary contact method and sign-in credential
  • Mobile Number - Used for emergency calls during fire drills

Account Security

  • Password - Change your account password
  • Two-Factor Authentication - Additional security for your account (if available)

Managing Email Addresses

Primary Email Address

  • This is the email address you use to sign in
  • System notifications are sent to this address
  • Must be unique across the system

Adding Additional Email Addresses

  1. In your profile settings, look for "Add Email Address"
  2. Enter the new email address
  3. Click "Add" or "Save"
  4. Check the new email address for a verification code
  5. Enter the verification code to confirm

Changing Your Primary Email

  1. First add the new email address (see above)
  2. Verify the new email address
  3. In your profile settings, select "Make Primary" (star ⭐ icon) next to the new email
  4. You can then remove the old email address if desired

Managing Mobile Numbers

Primary Mobile Number

  • Used for emergency contact during fire drills
  • May receive SMS notifications (if enabled)
  • Can be used to sign in to your account
  • Used when Fire Marshals need to call you during drills

Adding Additional Mobile Numbers

  1. In your profile settings, look for "Add Phone Number"
  2. Enter the mobile number in the correct format
  3. Do not include the leading zero (e.g., use 7123456789, not 07123456789)
  4. For international format, use 447123456789
  5. Click "Add" or "Save"

Mobile Number Format Requirements

Correct formats:

  • 7123456789 (UK mobile without leading zero)
  • +447123456789 (UK mobile with country code)

Incorrect formats:

  • 07123456789 (don't include leading zero)
  • 447123456789 (don't miss the leading + symbol)

Password Management

Changing Your Password

  1. In your profile settings of the web application, find the "Password" section under the Security heading
  2. Enter your current password
  3. Enter your new password
  4. Confirm your new password
  5. Click "Update Password" or "Change Password"

Password Requirements

Your new password should be:

  • At least 8 characters long
  • Include a mix of letters, numbers, and symbols
  • Not be the same as your previous passwords
  • Unique to this application

If You've Forgotten Your Current Password

  1. Sign out of the application
  2. On the sign-in page, click "Forgot Password?"
  3. Enter your email address
  4. Check your email for reset instructions
  5. Follow the link to create a new password

Profile Verification

Email Verification

  • New email addresses must be verified before they become active
  • Check your email inbox and spam folder for verification messages
  • Verification codes expire after 24 hours

Mobile Number Verification

  • Some features may require mobile number verification
  • You'll receive an SMS with a verification code
  • Enter the code when prompted in the application

Important Profile Guidelines

Keep Information Current

  • Update your mobile number if it changes
  • Ensure your primary email address is one you check regularly
  • Notify your Site Administrator if you change your name

Emergency Contact Information

  • Your mobile number may be used to contact you during actual emergencies
  • Ensure it's a number where you can be reached during working hours
  • Consider adding a secondary mobile number if you have one

Professional Information

  • Ensure your name matches your organisation's records
  • This information appears in fire drill reports and official documents

Troubleshooting Profile Issues

Problem: Can't Update Email Address

Solutions:

  1. Check that the new email address isn't already registered in the system
  2. Ensure you're entering a valid email format
  3. Contact the Reggie® support team via email or live chat if the issue persists

Problem: Not Receiving Verification Emails

Solutions:

  1. Check your spam/junk folder
  2. Add notifications@reggiefiredrill.co.uk to your safe senders list
  3. Wait a few minutes and try again
  4. Contact the Reggie® support team via email or live chat if the issue persists

Problem: Mobile Number Not Accepted

Solutions:

  1. Remove any spaces, brackets, or special characters
  2. Don't include the leading zero for UK numbers
  3. Use format: 7123456789 or +447123456789
  4. Contact support if you're still having issues

Problem: Password Won't Update

Solutions:

  1. Ensure your current password is entered correctly
  2. Check that your new password meets the requirements
  3. Make sure both new password fields match exactly
  4. Try using a different browser if the issue persists

Data Privacy and Security

Information Usage

  • Your profile information is used only for fire safety and emergency procedures
  • Information is not shared with third parties
  • You can request a copy of your data at any time

Data Retention

  • Your profile remains active while you're employed by the organisation
  • Inactive accounts are handled according to your organisation's data retention policy
  • You can request account deletion by contacting your Site Administrator
