Setting Up Automatic Check-ins (Mobile)

Overview

Automatic check-in uses your mobile phone's location services to automatically check you in when you arrive at your workplace and check you out when you leave. This feature only works on the mobile app and requires location permissions.

Who Can Use This

All staff members with the mobile app can enable automatic check-ins for their assigned sites.

Setting Up Automatic Check-ins (First Time)

Most users will complete this setup by simply toggling the setting in the app, which will guide you through the necessary permissions.

Step 1: Enable Automatic Check-ins in the App

  1. Open the fire drill mobile app
  2. Navigate to your Dashboard
  3. Scroll down until you see "Are you arriving or departing?"
  4. Click on the toggle next to "Automatic Check-in/out Disabled"

Step 2: Follow the Permission Prompts

For iPhone:

  1. You'll see a prompt: "Allow Reggie® to use your location?"
  2. Select "Allow While Using App"
  3. After the initial permission, you'll see another prompt: "Allow Reggie® to also use your location even when you are not using the app"
  4. Select "Change to Always Allow" (this setting is required for automatic check-ins to work)

For Android:

  1. You'll see a prompt: "Allow Reggie® to access this device's location?"
  2. Select "While using the app"
  3. After the initial permission, you'll see another prompt asking to allow background location, even when the app is closed
  4. Click "Continue" (this is essential for automatic check-in/out)
  5. The next screen will show your location permission settings for Reggie®
  6. Change the setting to "Allow all the time"
  7. Return to the Reggie® app

Step 3: Confirm Setup

  1. Back on your dashboard, you should see that "Automatic Check-in/out" is now enabled
  2. Automatic check-ins will now work, even if the app is closed

Android Persistent Notification

On Android devices, you'll see a permanent notification that says:

Reggie Safety Check-ins
Reggie is tracking your location in the background to automatically handle safety check-ins. If you dismiss this notification, it will return in 5 minutes to ensure your safety coverage continues.

Important: This notification is required for automatic check-ins to work on Android. Do not permanently dismiss this notification, as it will prevent automatic check-ins from functioning properly.

Manual Permission Settings (If Needed)

If you need to change these settings later, if the automatic prompts didn't work correctly, or if you've accidentally changed permissions, you can adjust them manually in your phone settings:

iPhone Manual Settings

Location Services:

  1. Open Settings on your iPhone
  2. Scroll down and tap Privacy & Security
  3. Tap Location Services
  4. Find and tap Reggie®
  5. Select "Always" (not "While Using App")
  6. Ensure "Precise Location" is enabled

Background App Refresh:

  1. Open Settings
  2. Tap General
  3. Tap Background App Refresh
  4. Ensure it's enabled globally, then find Reggie®
  5. Ensure the toggle is ON for the fire drill app

Android Manual Settings

Location Permissions:

  1. Open Settings on your Android device
  2. Tap Apps or Application Manager
  3. Find and tap Reggie®
  4. Tap Permissions
  5. Tap Location
  6. Select "Allow all the time" (not "Allow only while using the app")

Battery Optimisation:

  1. Open Settings
  2. Tap Battery or Battery Optimization
  3. Find Reggie®
  4. Select "Don't optimize" or "No restrictions"

How Automatic Check-in Works

Geofence Detection

  • Each site has an invisible boundary called a geofence
  • When you enter this boundary, the app detects your arrival
  • When you leave this boundary, the app detects your departure
  • Geofences are typically set around your workplace building

Automatic Check-in Process

  1. Entering the Site: When you cross into the geofence boundary, you'll automatically be checked in
  2. Notification: You'll receive a push notification confirming your check-in
  3. Status Update: Your dashboard will update to show you're checked in

Automatic Check-out Process

  1. Leaving the Site: When you cross out of the geofence boundary, you'll automatically be checked out
  2. Notification: You'll receive a push notification confirming your check-out
  3. Status Update: Your dashboard will update to show you're not currently checked in

Understanding the Notifications

Check-in Notification

When automatically checked in, you'll receive:

Safety Check-in You've been checked in at [Site Name]

Check-out Notification

When automatically checked out, you'll receive:

⤴️ Safety Check-out You've been checked out from [Site Name]

Timing

  • Notifications should arrive almost instantaneously
  • Allow up to 2 minutes maximum for processing
  • If you don't receive a notification, manually verify your status

Managing Automatic Check-ins

Checking Your Status

Always verify your check-in status on your dashboard:

  1. Open the mobile app
  2. Look at the "Are you arriving or departing?" section
  3. Check if it shows "You are currently checked in at [Site Name]"

If Automatic Check-in Doesn't Work

Your responsibility: If you don't receive an automatic check-in notification:

  1. Open the app immediately
  2. Check your status on the dashboard
  3. If you're not checked in but should be, manually check in
  4. It's always your responsibility to ensure you're properly checked in

Disabling Automatic Check-in

  1. Open the mobile app
  2. Go to your Dashboard
  3. Find the "Automatic Check-in/out" section
  4. Toggle the switch to OFF/Disabled
  5. You'll need to use manual check-ins from then on

Multiple Sites

How It Works with Multiple Sites

  • If you're assigned to multiple sites, automatic check-in works for all of them
  • You can only be checked in to one site at a time
  • Entering a new site's geofence will automatically check you out of your previous location

Secondary Site Access

  • Automatic check-in works for both primary and secondary sites
  • The geofence boundaries are set individually for each site
  • Your Site Administrator manages which sites you can access

Troubleshooting Automatic Check-ins

Problem: Not Getting Check-in Notifications

Solutions:

  1. Verify location permissions are set to "Always" or "All the time"
  2. Check that push notifications are enabled for the app
  3. Ensure background app refresh is enabled
  4. Try manually checking your status in the app
  5. If still not working, use manual check-ins and contact Reggie® support via live chat

Problem: Checking In/Out Repeatedly

Solutions:

  1. This may happen if you're working near the geofence boundary
  2. Contact your Site Administrator - they may need to adjust the geofence size
  3. Consider using manual check-ins if you work near the boundary

Problem: Not Checking Out When Leaving

Solutions:

  1. Ensure you've fully left the site premises
  2. Check that location services are still enabled
  3. The check-out may be delayed - wait a few minutes
  4. If it doesn't happen, manually check out

Problem: Battery Drain

Solutions:

  1. Modern apps are optimised for minimal battery usage
  2. If you notice significant battery drain, contact Reggie® support via live chat
  3. You can disable automatic check-in and use manual check-ins instead

Problem: Automatic Check-in While Outside Geofence

Solutions:

  1. If you manually check in while outside the geofence, you'll be automatically checked out when the app next checks your location
  2. Only manually check in when you're actually on-site
  3. The system will correct itself on the next location update

Best Practices

Optimal Usage

  • Keep your phone with you when moving around the site
  • Don't manually check in if you're using automatic check-ins (unless there's an issue)
  • Always verify your status if you're unsure
  • Report consistent issues to the Reggie® support team via live chat

When to Use Manual Check-ins Instead

  • If automatic check-ins aren't working consistently
  • If you work very close to the geofence boundary
  • If you prefer more control over your check-in timing
  • If you're concerned about battery usage

Privacy Considerations

  • Location data is only used for check-in purposes
  • Your precise location within the geofence is not tracked or stored
  • Location services only detect entry and exit from the site boundary

Data and Connectivity

Offline Functionality

  • Automatic check-ins are processed when you regain internet connectivity
  • The app remembers when you entered/left the geofence while offline
  • Check-ins will be processed once you're back online

Data Usage

  • Automatic check-ins use minimal data
  • Only entry/exit events are transmitted
  • No continuous location tracking

  3. Try disabling and re-enabling automatic check-ins in the app
