Overview

If your organisation has multiple locations, you may be assigned access to more than one site. This allows you to check in and out of different company locations while maintaining accurate records for emergency procedures.

Who Has Multiple Site Access

Staff members who:

  • Work across different company locations
  • Travel between offices regularly
  • Attend meetings or training at various sites
  • Have responsibilities at multiple locations

Understanding Site Assignment

Primary Site

  • Your main workplace location where you're primarily based
  • Used for billing and administrative purposes
  • Usually where you spend most of your working time

Secondary Sites

  • Additional locations you can access for check-ins
  • Set up by your Site Administrator based on your work requirements
  • Allow automatic check-ins (mobile) and manual check-ins (web/mobile)

Site Assignment Management

  • Only Site Administrators can assign you to additional sites
  • Contact your Site Administrator if you need access to new locations
  • Assignment changes take effect immediately

How Multiple Sites Appear on Your Dashboard

Web Application

Under "Your Sites" section, you'll see:

  • A separate card for each site you can access
  • Site name clearly displayed on each card
  • Check-in/check-out buttons for each location
  • Your current status for each site

Mobile Application

Under "Are you arriving or departing?" you'll see:

  • Individual cards for each accessible site
  • Site names and check-in options
  • Current status display for each location
  • Automatic check-in toggle affects all sites

Key Rules for Multiple Site Check-ins

One Site at a Time

  • You can only be checked in to one site at a time
  • Checking in to a new site automatically checks you out of your previous location
  • This prevents confusion during emergency procedures

Automatic Transitions

When you check in to a new site:

  1. You're automatically checked out of your current site
  2. Your status updates to show the new location
  3. You'll receive emergency notifications for the new site only
  4. Previous site emergency coverage stops immediately

Using Manual Check-ins with Multiple Sites

Checking In to a Different Site

  1. Locate the site card for your new location on your dashboard
  2. Click/tap the "Check-in" button for that site
  3. Your status will update automatically
  4. You'll be checked out of any previous site

Checking Out from Your Current Site

  1. Find the site card showing you're currently checked in
  2. Click/tap the "Check-out" button
  3. Your status will update to show you're not checked in anywhere
  4. You won't receive emergency notifications from any site

Verifying Your Location

Always check your dashboard status shows:

  • The correct site name where you're currently located
  • "You are currently checked in at [Correct Site Name]"
  • All other site cards show check-in options available

Using Automatic Check-ins with Multiple Sites

How Automatic Check-ins Work Across Sites

  • Geofences are set individually for each site
  • Entering any assigned site's geofence will automatically check you in
  • Leaving a site's geofence will automatically check you out
  • Moving between sites triggers automatic transitions

Site Switching with Automatic Check-ins

Scenario: Moving from Office A to Office B

  1. Leaving Office A: Automatic check-out when you leave the geofence
  2. Traveling: You'll show as not checked in anywhere
  3. Arriving at Office B: Automatic check-in when you enter the geofence
  4. Status: Dashboard updates to show Office B as current location

Verification with Automatic Check-ins

Even with automatic check-ins:

  • Always verify your status when arriving at any site
  • Check that you're showing as checked in to the correct location
  • Manually correct if automatic transitions didn't work

Managing Your Schedule Across Sites

Planning Multi-Site Days

Before traveling:

  • Check out of your current site
  • Plan your route and timing
  • Ensure you have access to destination sites

Upon arrival:

  • Verify check-in status within 5 minutes
  • Manually check in if automatic check-in didn't work
  • Confirm you're showing at the correct location

Meeting Attendees from Other Sites

If visiting another company site:

  • Ensure you're assigned access before traveling
  • Check in when you arrive for meetings
  • Check out when you leave, even for short visits

If others are visiting your site:

  • Visitors without app access use QR code check-in
  • Staff from other sites should check in normally
  • Emergency procedures will account for all checked-in staff and visitors

Emergency Procedures with Multiple Sites

During Fire Drills

  • You'll only receive notifications for the site where you're checked in
  • Emergency headcount includes you at your checked-in location only
  • Other sites won't expect you in their assembly areas

Fire Marshal Responsibilities

If you're a Fire Marshal with access to multiple sites:

  • You can only manage drills at sites where you have Fire Marshal permissions
  • Your role may differ between sites
  • Contact Site Administrators for role clarification at each location

Troubleshooting Multiple Site Issues

Problem: Can't See Expected Sites

Solutions:

  1. Contact your Site Administrator to verify your site assignments
  2. Ensure you're signed in with the correct email address
  3. Refresh your dashboard or restart the app

Problem: Automatic Check-in at Wrong Site

Causes:

  • Geofences may overlap if sites are close together
  • GPS accuracy issues near site boundaries

Solutions:

  1. Manually check out of the incorrect site
  2. Manually check in to the correct site
  3. Contact your Site Administrator about geofence boundaries
  4. Consider using manual check-ins if sites are very close

Problem: Not Automatically Switching Sites

Symptoms:

  • Still showing as checked in to previous site after moving
  • Not receiving check-in notification at new site

Solutions:

  1. Verify you're assigned to the new site
  2. Check that location permissions are enabled
  3. Manually check in to correct the status

Problem: Notifications from Wrong Site

What this means:

  • You're checked in to the wrong location
  • Emergency notifications will be incorrect

Immediate action:

  1. Check your current status on dashboard
  2. Check out of incorrect site
  3. Check in to correct site
  4. Verify notifications are now coming from right location

Best Practices for Multiple Site Management

Daily Routine

  • Check your status every time you change locations
  • Don't assume automatic check-ins worked correctly
  • Develop a habit of verifying location on arrival

Communication

  • Inform colleagues which site you'll be working from
  • Update calendars and schedules to reflect your location
  • Keep Site Administrators informed of regular travel patterns

Technology Management

  • Keep both web and mobile access available
  • Test check-ins at new sites before relying on them
  • Report consistent issues with specific site transitions

Emergency Preparedness

  • Know the evacuation procedures for each site you visit
  • Understand that emergency notifications are location-specific
  • Don't rely solely on app data during actual emergencies

Site Access Changes

Requesting New Site Access

  1. Contact your Site Administrator
  2. Explain your business need for additional site access
  3. Provide details about frequency and duration of visits
  4. Wait for confirmation before attempting to use new sites

Losing Site Access

  • Site access may be removed if no longer needed
  • You'll no longer see removed sites on your dashboard
  • Contact your Site Administrator if you need access restored

Important: Always verify your check-in status shows the correct location. Multiple site access is a convenience feature, but accuracy is your responsibility.
