Overview
Knowing your current check-in status is essential for workplace safety. This guide shows you how to quickly verify whether you're currently checked in and what to do if your status needs correcting.
Who Needs This Information
All staff members should regularly check their check-in status, especially those using automatic check-ins.
Why Check-in Status Matters
Safety and Emergency Procedures
- Only checked-in staff are included in fire drill headcounts
- Emergency responders use check-in data to account for people
- Being checked in ensures you receive emergency notifications
Your Responsibility
- It's always your responsibility to ensure you're properly checked in when on-site
- Don't assume automatic check-ins are working without verification
- Regular status checks help identify issues before emergencies
How to Check Your Status
Web Application
- Sign in to https://reggiefiredrill.co.uk
- Look towards the bottom of your dashboard page, below the Your Sites heading
- You'll see one of these messages:
- "You are currently checked in at [Site Name]" - You're registered as present
- "You are not currently checked in" - You're not registered at any site
Mobile Application
- Open the Reggie® app
- Look at the main dashboard screen
- Under "Are you arriving or departing?" you'll see:
- "You are currently checked in at [Site Name]" - You're registered as present
- "You are not currently checked in" - You're not registered at any site
Understanding Your Status
When You Should Be Checked In
You should be checked in when:
- You're physically present at your workplace
- You're in the building or on-site premises
- You're working from your assigned location
- You're attending meetings or events at the site
When You Should Be Checked Out
You should be checked out when:
- You've left the building or site premises
- You're working from home or another location
- You're on holiday or sick leave
- You've finished work for the day
Status Timing
- Manual check-ins update immediately
- Automatic check-ins/outs should occur within 1-2 minutes of entering/leaving
- Status synchronises between web and mobile apps
Regular Status Checking Schedule
Daily Checks
When arriving at work:
- Check your status within 5 minutes of arrival
- If you're using automatic check-ins, verify they worked by looking out for the check-in push notification
- Manually check in if your status is incorrect
Before leaving work:
- Verify you're checked out when departing
- Don't leave the building while still showing as checked in
- Manually check out if automatic check-out didn't work
Periodic Verification
Throughout the day:
- Check status if you've been away from your desk for extended periods
- Verify status after returning from lunch or meetings off-site
- Double-check if you received (or didn't receive) expected notifications
What to Do Based on Your Status
If You're On-Site But Not Checked In
Immediate action required:
- Use manual check-in immediately
- Verify your status updated correctly
- If automatic check-ins are enabled but didn't work, consider switching to manual
If You're Off-Site But Still Checked In
Immediate action required:
- Use manual check-out immediately
- You'll continue receiving emergency notifications while checked in
- This affects emergency headcounts and could cause confusion during drills
If Your Status Is Correct
No action needed:
- Continue with your normal activities
- Remember to check again when your location changes
Multiple Site Access
Understanding Multi-Site Status
If you have access to multiple sites:
- You can only be checked in to one site at a time
- Your status will show which specific site you're checked in to
- Each site has separate check-in/check-out options
Moving Between Sites
When travelling between company locations:
- Check out of your current site before leaving
- Check in to the new site when you arrive
- Verify your status shows the correct new location
Troubleshooting Status Issues
Problem: Status Shows Wrong Location
Immediate fix:
- Check out of the incorrect site
- Check in to the correct site
- Verify the update was successful
Prevention:
- Always check your status when changing locations
- Don't rely solely on automatic check-ins for site switching
Problem: Automatic Check-ins Not Working
Signs to look for:
- No notification received when entering/leaving
- Status doesn't change despite location change
- Consistent delays in status updates
What to do:
- Switch to manual check-ins immediately
- Contact Reggie® support via live chat for technical assistance
- Continue using manual check-ins until the issue is resolved
Problem: Status Not Updating
Troubleshooting steps:
- Refresh your browser or restart the mobile app
- Check your internet connection
- Try the alternative platform (web if using mobile, mobile if using web)
- Sign out and back in if problem persists
Status During Different Scenarios
Working from Home
- Ensure you're checked out of your office location
- Don't check in to your office site when working remotely
- You won't receive fire drill notifications for your office (which is correct)
Business Travel
- Check out of your primary site before travelling
- Don't check in to client sites or other locations unless you have access
- Remain checked out until you return to your assigned workplace
Lunch Breaks and Short Absences
If leaving the building:
- Check out when leaving for lunch
- Check back in when you return
- This ensures accurate headcounts during any emergency
If staying in the building:
- Remain checked in during short breaks
- No action needed for toilet breaks, internal meetings, etc.
Sick Leave or Holiday
- Ensure you're checked out before going on leave
- Don't check in during your absence
- Check your status when you return to work
Emergency Situations
During Fire Drills
Before evacuation:
- Note your current check-in status if safe to do so
- Don't spend time checking status if alarm is sounding
- Evacuate immediately following standard procedures
After reaching assembly point:
- Fire Marshals will use check-in data to account for everyone
- Be prepared to confirm your presence to Fire Marshals
- Don't rely solely on app data during emergencies
If Status Is Wrong During Emergency
- Inform Fire Marshals immediately of your actual presence
- Don't attempt to correct status during evacuation
- Update your status only after the emergency is resolved
Best Practices for Status Management
Develop Good Habits
- Check status every time you arrive or leave
- Make it part of your daily routine
- Don't assume automatic systems are working without verification
Stay Informed
- Understand how your site's geofence works
- Know the difference between manual and automatic check-ins
- Report persistent issues promptly
Communication
- Inform your Site Administrator of recurring status problems
- Share feedback about geofence accuracy if working near boundaries
- Help colleagues understand the importance of accurate status
Remember: Your check-in status is crucial for emergency response. Make checking your status a regular habit, and never assume it's correct without verification.
